Reservation Policy

Effective Date: 29 June 2026

1. Introduction

This Reservation Policy ("Policy") governs all room reservations made with The Signature Inn McLeodganj through our official website, telephone reservations, email, walk-in bookings, or any authorized third-party booking platform.

By making a reservation with the Hotel, the guest acknowledges that they have read, understood, and agreed to be legally bound by this Policy together with our Cancellation & Refund Policy, Privacy Policy, and any additional booking terms applicable to promotional offers or special packages.

2. Reservation Confirmation

The Hotel reserves the right to reject, suspend, or cancel any reservation that cannot be verified or remains unpaid.

3. Room Tariffs

All room tariffs displayed on the Hotel's website are quoted in Indian Rupees (INR) unless otherwise stated. Published tariffs are subject to applicable taxes and statutory levies; may vary depending upon seasonality, occupancy levels, promotional offers, and room availability; and may be revised without prior notice for future bookings. Confirmed reservations shall ordinarily be honored at the confirmed rate unless affected by changes in applicable government taxes or statutory charges.

4. Check-In and Check-Out

Early check-in and late check-out requests remain subject to room availability, operational feasibility, and applicable additional charges. The Hotel does not guarantee early check-in or late check-out.

5. Identification Requirements

In compliance with applicable laws of India, every Guest must produce a valid government-issued photo identification at the time of check-in. Acceptable identification includes Passport, Aadhaar Card, Driving Licence, Voter Identity Card, or any other Government-approved identification document. The Hotel reserves the right to deny accommodation where valid identification is not produced. Foreign nationals shall additionally produce a valid passport together with an appropriate visa or immigration documents.

6. Occupancy Policy

Each room category has a prescribed maximum occupancy limit. Accommodation beyond the permitted occupancy may only be allowed subject to room capacity, payment of applicable extra guest charges, and compliance with Hotel policies. The Hotel reserves the right to refuse occupancy exceeding permissible limits.

7. Children Policy

Children may stay with their accompanying parents or guardians subject to the occupancy limits applicable to the booked room category. Additional bedding, mattresses, or extra beds may attract separate charges depending upon availability.

8. Special Requests

Requests relating to adjoining rooms, specific room locations, higher or lower floors, early check-in, late check-out, accessibility requirements, additional amenities, room décor or celebration arrangements shall be treated solely as preferences. While the Hotel shall make reasonable efforts to accommodate such requests, fulfillment cannot be guaranteed.

9. Guest Conduct

Guests are expected to conduct themselves responsibly. The Hotel reserves the right to refuse accommodation or terminate a Guest's stay without refund where the Guest violates applicable laws; engages in unlawful, abusive, violent, or disruptive conduct; damages Hotel property; threatens the safety or comfort of other guests or employees; or engages in activities prohibited under Hotel rules. The Guest shall remain financially responsible for any damage caused to Hotel property.

10. Smoking Policy

Smoking is permitted only in designated smoking areas, if provided. Smoking inside non-smoking rooms or prohibited areas may result in cleaning charges, restoration charges, additional penalties, or any other charges deemed necessary by the Hotel.

11. Pets

Pets shall be permitted only where expressly allowed under the Hotel's prevailing pet policy. The Hotel reserves the right to refuse entry to pets not complying with such policy. Additional deposits or cleaning charges may apply.

12. Personal Belongings

Guests shall remain solely responsible for the safety and security of their personal belongings. The Hotel shall not be liable for loss, theft, damage, or misplacement of any personal property unless such liability arises directly under applicable law. Guests are advised to keep valuables securely stored.

13. Visitor Policy

Visitors may be permitted only in accordance with Hotel regulations and applicable local laws. The Hotel reserves the right to request visitor identification and deny access where deemed necessary for safety or operational reasons.

14. Reservation Errors

In the event of technical system errors, pricing inaccuracies, duplicate bookings, inventory synchronization failures, typographical mistakes or force majeure events, the Hotel reserves the right to cancel, modify, or correct the reservation after notifying the Guest. Where cancellation becomes necessary due to an error attributable solely to the Hotel, any payment received shall ordinarily be refunded in accordance with applicable law.

15. Limitation of Liability

To the fullest extent permitted by applicable law, the Hotel's aggregate liability arising out of any reservation, stay, or related claim shall not exceed the total amount actually paid by the Guest for the reservation in question. Under no circumstances shall the Hotel be liable for indirect losses, consequential or incidental damages, loss of profits, loss of business opportunities, travel disruptions, missed transportation, airline cancellations, visa-related expenses, or emotional distress arising from reservation-related issues.

16. Force Majeure

The Hotel shall not be held liable for any delay, cancellation, interruption, or inability to provide accommodation resulting from events beyond its reasonable control, including acts of God, natural disasters, pandemics, government orders, civil disturbances, strikes, transportation disruptions, utility failures, internet outages, war, terrorism, or any other force majeure event.

17. Amendments

The Hotel reserves the right to revise, amend, modify, or update this Reservation Policy at any time without prior notice. The revised Policy shall become effective immediately upon publication on the official website.

18. Governing Law and Jurisdiction

This Reservation Policy shall be governed by and construed in accordance with the laws of the Republic of India. Any dispute arising out of or relating to this Policy shall be subject to the exclusive jurisdiction of the competent courts situated at Dharamshala, Himachal Pradesh, India.
